The London School of Mathematics and Programming is a unique institution which helps children between the ages of four and 17 years to develop their intellectual and cognitive skills. The school’s aim is to provide world-leading teaching in its specialist areas of study. We offer independent courses in Mathematics, Programming, Robotics, and Early Intellectual Development. We also organise individual and team competitions, including our Maths Battles, annual Robotics Triathlon, Open Maths Olympiad, and the British Programming Challenge, working in collaboration with the UK Mathematical Trust and UK Robotics Week. With over 60 teachers, we have schools in Kensington, Wimbledon, and Hampstead. ABOUT THE ROLE
We are growing rapidly and are now looking for a hands-on, detail-oriented individual to join us as the Business Manager of our school.
WHAT YOU WILL BE DOING
The successful candidate will take lead responsibility for the management of the school, including administration, parent communication, education management, and human resources. The position will require the person to manage the school on Saturdays, throughout term time, and to manage holiday camps from Monday to Friday during school holidays. We provide the flexibility for you to work from home or our office.
General school and holiday camp management
General management of the school on Saturdays, including class register preparation, room allocation, parent liaison, and administration, prior to each Saturday, and the smooth running of the school during weekdays.
Meeting and greeting students and parents during the day and responding to their enquiries.
Managing teachers' and teaching assistants' schedules, making necessary changes when required.
Assisting with the management of classrooms, troubleshooting and problem solving where needed.
Ensuring health and safety, first aid, and data protection compliance.
Maintaining the school’s Client Relationship Management (CRM) and Learning Management (LMS) systems.
Ensuring efficient information and document flow amongst staff, students, and their parents, including the distribution of written information.
Maintaining the registers and attendance records for the school, camps, and challenges.
Sending out relevant correspondence, newsletters, and forms to parents and ensuring all are completed and returned on time.
Assisting with the recruitment process of teaching staff (advertising, CV screening, phone interviews).
Managing HR document flow (contracts, invoices, contact details).
Requesting and maintaining relevant information from prospective candidates, regarding DBS and other official checks.
Monitoring compliance with internal policies (including GDPR), as well as health and safety procedures.
Handling incoming enquiries and correspondence from parents and responding to queries via email and phone.
Liaising with teaching staff, senior management, other institutions, and other stakeholders.
Issuing invoices and ensuring payments are made on time, using the school’s online payment tracking system.
Controlling stocks of stationery, and learning and marketing materials, and negotiating favourable terms with suppliers.
Reviewing and drafting official letters and commercial contracts, using templates.
Providing general administrative support to senior management and teaching staff, as required.
WHAT WE ARE LOOKING FOR
3+ years' experience in a business or office management function, preferably within an educational setting.
Excellent English verbal and written communication skills, with the ability to confidently liaise with all types of parents, including our ‘VIP’ families.
The ability to establish good working relationships in all levels of the institution – pupils, teaching staff, senior management, the Board of Trustees, etc.
Experience, knowledge, and understanding of all aspects of school management.
Extreme attention to detail and exceptional organisational skills.
A hands-on and proactive approach to problem-solving.
Confidence using MS Office, including Excel, and PowerPoint.
A caring and conscientious personality is a must.
Fluency in Russian is not mandatory, but highly desirable.
Knowledge of Photoshop/InDesign or basic graphic design skills are highly desirable.
