GSMA - Congress Delegate Liaison Coordinator

The MWC Barcelona is the mobile industry’s most prestigious annual event and this year attracted 108,000 telecommunications executives from 208 countries. The GSMA Advocacy department also provides a tailored three-day government programme within this unique environment to facilitate government, regulatory and industry debate and knowledge sharing and to contribute to the year-round advocacy activities the GSMA conducts on behalf of its members.

In 2018, the event welcomed over 2,000 senior-level participants, including representatives from 181 governments and international organisations. The Ministerial Programme brings together Ministers, Head of Regulatory Authorities, international/inter-governmental organisations such as the EU Commission, World Bank and various UN agencies. They were joined by CEOs and other senior industry representatives from across the mobile ecosystem.

The GSMA Mobile 360 Series

The Mobile 360 Series of events are the GSMA’s one to two-day conferences held around the globe, with a specific focus on regional issues or current industry topics. Each event offers senior executives in mobile and adjacent industries – as well as regulatory and government representatives – the opportunity to learn of industry developments, network with peers, and discuss key regional or topical issues.

The Role

The candidate will coordinate attendance of government representatives at selected Mobile 360 Series 2019 events, Ministerial Programme at MWC, and other Advocacy events ad hoc throughout the year.

  • The team is led by the Head of Events, Advocacy. The team is comprised of a Senior Events Manager and 2 Events Managers and 2 to 8 delegate coordinators, in addition to operations, content and marketing.

  • Coordinate all aspects of the government delegations’ attendance at the relevant event including but not limited to:

    • Database collection and management - Salesforce

    • Invitation process

    • Hotel bookings

    • Onsite transportation

    • Embassy involvement

    • Specific attendance at each event

    • Registration for passes

    • Arranging and managing meetings from 6 to 40 people

  • Translation of documents such as delegate website and logistical information from English to Russian and vice versa.

  • Onsite support to deliver the Ministerial Programme event, other event might require onsite support. You must be willing to travel when needed for onsite support.

Skills/Experience
We are open to candidates from a range of functional backgrounds. Candidates with PA, Project or Events Management backgrounds will be preferred. Previous exposure to the mobile industry is not mandatory.

Candidates must demonstrate the following competences in order to be considered:

  • Professional written translation experience (Russian/English)

  • Excellent personal organisation, prioritisation and workload management

  • Experience in delivering a project against complex and demanding timeframes

  • Solid data processing experience

  • Excellent attention to detail as well as the ability to track changes and predict their subsequent implications

  • High level technical competence in standard Microsoft Office products

  • Excellent professionalism, particularly under stress. Mature, reliable and resilient personality.

  • Excellent communication skills both in English and Russian, including written and verbal, formal and informal styles and experience communicating with people from non-English speaking backgrounds

  • Highly self-motivated and committed. Ability to work autonomously, problem solve and apply creative solutions.

  • Strong team player within multi-disciplinary teams

  • Ability to travel internationally when needed

Candidates with the following experience will be preferred:

  • Experience in dealing with government delegations

  • Experience in CRM software and database management - Salesforce

  • Fluency in an additional European/Asian language.
