ROLE OBJECTIVES

A Front-of-House administrator, responsible for delivering a first-class service at Reception and offering assistance to the wider Business Services department when required.

DUTIES & RESPONSIBILITIES

Duties and Responsibilities – Reception

Ensure the smooth day-to-day running of GM&T Receptions by:

  • Welcoming clients and guests in to the office

  • Taking all necessary steps to ensure security by verifying that guests are expected

  • Ensuring clients and guests are informed of the fire evacuation procedure upon arrival

  • Assisting with all queries that come via email/telephone/in person

  • Assisting with meeting room bookings when appropriate, including liaising with Hospitality and Facilities/Post room teams

  • Keeping the reception desk and client waiting areas clean and tidy at all times

  • Assisting with resetting the client floor meeting rooms in between meetings

  • Ensuring the reception area is constantly manned

  • Providing Meeting Room Booking System training for stakeholders when required

Duties and Responsibilities – Business Services 

  • Perform various office administration tasks and ad hoc projects as required

  • Assist the Business Services Team Co-coordinator with all aspects of Finance-related tasks such as POs, vendor set-ups, processing invoices and expenses for the department and keep up-to-date with all such matters

  • Cover absence of the Business Services Team Co-coordinator, managing all transport bookings and financial tasks during the leave period

  • Assist with the department’s filing and archive system and stationery orders

  • Assist with Health and Safety induction for New Starters

  • Liaise with a variety of companies/stakeholders/offices when requested in accordance with the department’s priorities

EXPERIENCE
