Deloitte - Tax GES Mobility – Immigration, Senior Secretary

Your opportunity
This supporting role to one Partner and his Mobility Team in our Global Mobility Compensation Team. It’s a varied role with daily interaction across internal teams.

Our Team are leading the way advising clients on their Brexit implications, you will be ahead of the game by the time decisions are made! You will manage your own time effectively to assist client Engagement Teams to fulfill their roles as global tax advisers.

Your role

  • To offer day to day support to a Tax Partner and the Team. To manage diaries, prioritising and juggling meetings where appropriate

  • Inbox management where necessary

  • To organise all aspects of travel, necessary visas, currency and extensive itineraries (often at short notice)

  • General correspondence both internal and external

  • To open and distribute mail received using initiative to deal with basic queries

  • Must be able to work under pressure and meet tight deadlines

Production of documents:

  • Creation and editing of word documents and reports

  • Creation of excel workbooks, inputting basic formulae

  • Creation of PowerPoint presentations using generic templates

  • Liaise with document production centre for printing and binding of documents

  • Accurate and timely completion of all client documents

  • To plan and organise large events/conferences both internally and externally

  • Confidently liaise with senior exec EA’s internally and externally

  • Liaise with core team EA’s globally

  • General administrative duties as required: Photocopying/scanning

  • Formatting documents/reports/spreadsheets

  • Take ownership of tasks or enquiries from clients, to resolve, respond or refer on where necessary

  • Working collaboratively with other team members and providing cover as necessary

  • Take on ad hoc projects as directed by partners and directors

  • To answer telephone calls in a professional manner, deal with queries appropriately by delegating to appropriate Team members and ensuring detailed, concise information is passed to the relevant personnel

  • To maintain an accurate and easily accessible manual/electronic filing system, filing documents promptly and accurately

  • Arrange for documents to be archived in the Central Filing system as appropriate and maintain accurate records

  • Update client details using our Company CRM portal ensuring leads and contacts are updated regularly

  • Proactive and timely submission of Partner's Timesheet and expenses.

  • Uploading information onto SAP (our on-line system used for Billing, reporting, etc)

  • Liaise with HR and client(s) regarding any security checks that may be required for candidates working on a specific project

Your professional experience

  • GCSE education, including Maths and English or equivalent

  • Relevant experience in a similar role preferably within a professional environment

  • Intermediate/Advanced knowledge of Microsoft Office (Word for Windows, Excel, PowerPoint, Outlook)

  • Working knowledge of SharePoint /eRoom

  • Excellent written and oral communication skills, including strong proofing skills

  • Language(s) would be an advantage

  • Ability to work accurately and effectively under pressure and to prioritise workload, whilst remaining calm and composed

  • Confidentiality, discretion and personal sensitivity in all aspects of the role

  • Confident, professional manner with a can do and positive attitude

  • Ability to establish rapport with partners and staff at all levels

  • Positive attitude with the willingness to provide the highest level of internal and external client service and able to work as a team player

  • Willingness to own/solve problems as they arise, but also have the ability to identify issues for referral

We are the Global Mobility Compensation Team

The Global Mobility compensation team covers all aspects of employer payroll reporting obligations and the global coordinating of assignee payroll where we instruct payroll departments either in house, third party or Deloitte. We manage the collecting of payroll outputs for total cost reporting and other downstream payroll activities. If required we operate UK expat payroll processing. There is no such thing as a ‘typical’ person or job.
