International Telecommunication Union - Secretary

Organ: The General Secretariat directs all the administrative and financial aspects of the Union's activities, including the implementation of the provisions of the administrative regulations on operational questions, the dissemination of information on telecommunication matters for operational and other purposes, the provision of legal advice to the Bureaux of the Union and the departments of the General Secretariat, logistic support to the Union's activities including conferences, the coordination of the work of the Union with other international organizations, the dissemination of information to the Member States and Sector Members, press, corporate and individual users of telecommunications and the general public. The General Secretariat is also responsible for the organization of world telecommunication exhibitions and forums. Organization Unit: The Conferences and Publications Department is responsible for ensuring communication between people involved in ITU activities and for the dissemination of ITU products, through its conference services (conference organization and logistics), language services (translation and interpretation in the six official languages, précis-writing, terminology and reference services) and documentation and publications services (text capture and text processing, electronic document management, publication composition, reproduction and distribution of paper and physical electronic products). Duties / Responsibilities In the Spanish Language Section of the Conferences and Publications Department, under the supervision of the Head of the Spanish Language Section, the incumbent carries out the following duties:

  • Draws up contract requests and enters data in the system for all staff request forms; maintains the annual recruitment plan; maintains files on staff and other matters; prepares and follows up translations and text processing jobs done under contract.

  • Types and drafts routine correspondence; takes telephone calls and arranges appointments when necessary; types translations, assembles texts, prepares terminology lists when necessary, and verifies typing accuracy, layout and concordance with originals, as required by the Head of Section.

  • Maintains contact and collaborates with the Human Resources and Financial Resources Departments on all matters relating to staff management and accounts for contract translation.

  • Registers and follows up all texts sent to the section for translation and text processing; enters data in the Document Processing System (DPS); distributes work to translators; sends completed work to the appropriate recipients; maintains contact with the relevant ITU departments and bureaux to obtain maximum efficiency and follow up translations.

  • Types staffing schedules, overtime sheets and summaries, during conferences.

  • Maintains collections of publications and documents used by translators and revisers, and seeks out reference material as required.

  • Produces reports and statistics.

  • Manages stocks of office supplies; makes the necessary arrangements for maintenance and repairs of equipment and furniture.

  • Liaises with all concerned in the interests of making optimum use of available premises; settles supernumerary translators and operators into their offices upon arrival.

  • Performs all other secretarial duties. May be called upon to replace the secretary of the Department or the assistants responsible for registering translations.

  • Qualifications required Education: Complete secondary education with a diploma OR complete equivalent technical or commercial studies with a diploma. For internal candidates, obligatory schooling in combination with ten years of qualifying experience may be accepted in lieu of complete secondary education with a diploma for promotion or rotation purposes. Experience: At least five years of experience in the field of the post. (A maximum of three years of studies in the field of the post and in a recognized school may replace the required experience on the basis of one year of education for one year of experience.) Experience in the use of computer equipment for text processing and capture. Typing in Spanish and English or French, including one language at the test speeds of the Geneva-based United Nations organisations. Skills: Languages: Knowledge of one of the six official languages of the Union (Arabic, Chinese, English, French, Russian, Spanish) at advanced level and knowledge of a second official language at intermediate level. Knowledge of a third official language would be an advantage. Additional Information: Annual Salary (Net of Tax) 74,343.- CHF - 98,863.- CHF without dependants
